Hello, My name is Arun, and I am one of the co-founders of EDTEX (https://www.edtex.in). I am posting this for anyone who runs student exchange at a business school, law school, or university, or who has been asked to automate it. We have built and successfully deployed customised academic operations solutions at leading business schools, law schools, and universities: ISB Hyderabad, SDA Bocconi Milan, IIM Ahmedabad, IIM Bangalore, IIM Calcutta, IIM Lucknow, IIM Kozhikode, IIM Indore, and IIM Mumbai; private business schools including BITSoM Mumbai, KJSIM Mumbai, NMIMS Mumbai, and TAPMI Manipal and Bangalore; and universities including Manipal University, Ashoka University, OPJGU, and SNU Noida. Anyone who has run an exchange cycle knows how much of it lives in inboxes. Partner factsheets sit in old PDFs, every student wants the same handful of partner schools, applications arrive through forms, and course equivalencies get agreed over email threads that are hard to find a term later. Incoming students need all of this in reverse, from partners in different time zones. Since 2017, we have developed software for academic offices, and student exchange has always come up in our discussions. That is why we built Registro EPAS, our platform for incoming and outgoing student exchange. In short, Registro EPAS is student exchange management software for business schools, law schools, and universities. It runs outgoing and incoming exchange in one place: partner information, student applications, seat allocation, credit transfer, and pre-departure preparation. It replaces the spreadsheets and email chains that make exchange depend on one or two people in the international office. Further information is available here: https://www.edtex.in/products/re... Here is a story from the international relations office. The exchange coordinator has run outgoing exchange for years. She knows which partners take finance students, which ones need a language certificate, and which course equivalencies the faculty approved last term. Most of it lives in her inbox and in a spreadsheet only she fully understands. A week before nominations are due, she goes on medical leave. Her colleague opens the shared drive, finds three versions of the spreadsheet, and spends the week emailing partners to confirm deadlines, while students ask why their applications have gone quiet. This is hard because exchange is a matching problem that runs across two institutions. Each outgoing student has to be matched to a partner with a limited number of seats, its own academic requirements, and a calendar that does not match yours. Every course taken abroad then has to map back to credits at home, and every incoming student needs the same in reverse. Yet most international offices still run it on spreadsheets, shared drives, and email. What does Registro EPAS actually do? Partner information lives in one place: factsheets, contacts, and agreements, kept up to date as agreements change. When the application window opens, students log in, compare partner universities and programmes, and submit their preferences. Where popular partners are oversubscribed, seats can be allocated through bid-point rounds in Registro Course Bidding, so every allocation follows the same transparent rules. Students then track their application from submission through seat allocation and acceptance, including any steps still outstanding. Once seats are confirmed, Registro EPAS records course equivalencies and credit mapping, so students get the right recognition for courses completed abroad. Students also receive their institution’s pre-departure checklists, orientation material, and key contacts at both the home and host institutions. Incoming students apply through the same platform, which handles semester exchanges, summer programmes, and dual-degree programmes. Changes have their own workflow too. When a partner agreement changes, eligibility and seat counts are updated in the platform, so allocations always reflect current agreements. For institutions on Salesforce, student records sync both ways, so a withdrawal marked in one system shows up in the other without anyone updating two systems by hand. Reports on participation, partner performance, application trends, and programme outcomes show which partnerships to grow, renew, or retire. Student data is protected with encryption and access controls, and the platform is designed to support GDPR compliance, which matters when records move between countries. How do AI agents help manage student exchange? Much of the international office’s time goes on answering the same questions every cycle: which partners accept a given programme, when nominations are due, and how credits will transfer. Registro includes AI agents for exactly this: students and the international office can ask questions in plain language and get answers straight from the partner factsheets and programme rules. This results in a true 10x reduction in manual work. Who can leverage Student Exchange Automation for 10X outcomes? International relations offices, exchange coordinators, programme offices, deans’ offices, and registrars at business schools, law schools, and universities, in other words, anyone who manages incoming and outgoing student mobility. Registro EPAS can be used on its own or as part of the broader Registro suite, which includes course bidding, timetabling, registration, attendance, grading, fees, and course feedback. It sends exchange allocations and outgoing students’ partner-university courses to Salesforce via an API for credit and graduation tracking, and supports SSO via Google Workspace and Microsoft Entra ID. And what about your own institution? How do you run exchange applications and seat allocation today, and what happens when the person who knows the process is away?
