Businesses were constantly juggling emails, spreadsheets, cloud folders, and reminders just to track whether required documents had been submitted, reviewed, or were up to date. I wanted to build something that made this process simple, structured, and accessible without enterprise-level complexity. The core problem was the time and friction involved in collecting, organising, and maintaining business-critical documents like onboarding packs, compliance certificates, contracts, and employee records. Actis Docs centralises this process by allowing businesses to request documents from clients or staff through a simple link — no client account required. Submissions are automatically organised and renamed for consistency, and teams can review documents directly in the platform without needing to download them. Instead of acting as a passive storage tool, the system is designed around active workflow control. Follow-up or “chasing” schedules are fully customisable, so reminders can be automated based on deadlines or business rules. This reduces the need for manual follow-ups and makes it easier to maintain compliance and keep records up to date. Initially, I focused heavily on building features and getting the technical foundation right. Over time, the focus shifted toward workflow clarity and ease of use. The biggest improvements came from simplifying how users interact with the system — reducing steps, removing friction, and prioritising adoption speed over feature density. Feedback from real-world usage helped shape the product into something more practical: less of a document repository, and more of a structured system for actively managing document workflows.
